Tasks

The DealTrak system allows you to set up tasks related to a proposal or a dealer.

These tasks can be assigned to the user who created it, or any other user in the system.

To create a task for a customer, you can either use the “Go To” menu within the proposal and select the task page, or use the drop down menu on the Pending or All deals pages. Either of these methods takes you through to the task page for that proposal.

 

From here, you just need to click the “Add New Task” button.

You will need to enter the task information in the main note box, select a user to assign the task to (this defaults to the user creating the task), select a due date and then select a due time (if necessary).

Once the options are selected, you will just need to click Save to finalise the task.

 

To create a task for a dealer, you need to go into the dealer information section.

This is accessible in 3 ways. Either through the “Branch Control” tab, and then selecting dealer information, or through the “Tools” tab, and selecting dealer information.

Accessing in these ways, you have to pick the relevant dealer (there are several search and filter options to assist).

The final method is to click the assigned dealer name on the prop line on the Pending or All deals pages. This takes you through directly to the dealer information entry.

 

On the dealer information entry screen, there is a tab for Tasks. Clicking this will show any current tasks open for the dealer and gives you the option to add a new one. Creating the task itself is the same for the dealer as it is for the individual customer proposal.

 

If you have a task that is coming up to its due date/time, your system will have a yellow banner warning you of this.

If a task is overdue, the banner changes to red. You can click on the banner to go to your tasks page, and edit or complete the task as required.

By default, the system will alert you to an upcoming task 24 hours before it’s due date. However, this can be altered depending on your requirements.
